Terms and Conditions

Bookings are subject to the full Terms and Conditions which are in this page also please read the F&Q’s page. All the relevent details will be on our agreement form which must be signed and returned as stated.

A booking is only confirmed by us when we are in receipt of the returned signed agreement together with the advance booking payment of 20% for discos and other products we do . We reserve the right to re-allocate dates should the relevant paperwork not be returned within 7 days.

The terms of the agreement do not allow for cancellation other than by mutual consent of both parties and must be confirmed in writing. The following fees will be charged should you cancel the signed agreement:

Within 8 weeks of event date

= The full contracted fee

Within 12 weeks of event date

= 50% of the full contracted fee.

The advance booking payment will not be refunded under any circumstances and does not eliminate the full fee being charged.

The outstanding balance and / or all fees owing must be received by us 14 days prior to the event date by cheque or paypal or by credit or debit cards  please. Breach of this condition will be considered a cancellation by you and the full contracted fee will charged.

Please note. We do not accept any payments on the night unless we say that will be ok.

You are advised to contact us urgently should the balance be delayed due to unforeseen circumstances.

It is the bookers legal responsibility to comply with and ensure that current Health and Safety regulations are in place and any performance area is fit for the use intended. A safe electrical supply must be provided. All outside situations ( marquees /outbuildings) must be dry and undercover and made safe for electrical use and insulated from the ground. Ensure that there is sufficient total power available for all of the service providers ( ie: Caterers ) equipment and other contractors using the facilities.

A minimum clear floor space is rquired of 2.5 metres x 2 metres with a head height of 2.2 metres. with 2 13 amp power sockets. If other additional entertainment is booked adequate floor space must be available for all the performers and changing facilities provided if required.

At least 60 minutes is required for setting up and 60 minutes to dismantle and re-loading equipment. This must be taken into account when planning any arrangements. If required an earlier set up time can be made by arrangement ( ie: before your guests arrive or before a meal).

Any delayed set up time or subsequent delayed start time due to an overrun of a prior proceeding or situations outside of our control will not warrant any extension of the stated finish time or any fee reduction. However at the sole discretion of Soundimages Roadshow  and with the permission of the venue management an extension of these performing times may be made. An additional fee will be charged by us. This additional fee must be paid in cash  before any extra time commences.
